Refund and Returns Policy

At RoboSpares, we are committed to providing quality industrial robot spare parts. We understand that issues may occasionally arise, and this Return & Refund Policy outlines how such matters are handled in a fair and transparent way.

1. Eligibility for Returns

We accept returns under the following conditions:

  • The item delivered is incorrect, damaged, or defective

  • A return request is submitted within 14 calendar days of delivery

  • The item is unused, uninstalled, and returned in its original packaging

  • The return is authorized in advance by our support team

Note: Custom-manufactured items, electronic control components, and software-licensed parts are non-returnable, unless proven to be defective upon receipt.

2. How to Initiate a Return

To request a return, please email sales@robospares.com with the following:

  • Order number

  • Description of the issue

  • Clear photos (if item is damaged or incorrect)

Our support team will review your request and provide return instructions, including a Return Merchandise Authorization (RMA) number if approved.

Unauthorized returns will not be accepted.

3. Return Shipping

  • For items confirmed as defective or incorrectly shipped, RoboSpares will cover return shipping costs or arrange a replacement at no additional charge.

  • For all other approved returns (e.g., customer ordering error), the customer is responsible for return shipping and any associated import/export fees.

4. Restocking Fee

A restocking fee of up to 15% may apply for non-defective returns, depending on the item’s condition and category. This helps cover inspection, testing, and repackaging costs.

5. Refund Processing

Once we receive and inspect your return:

  • Approved refunds will be issued to your original payment method

  • Please allow 7–10 business days for processing

  • Original shipping fees are non-refundable, unless the return is due to our error

6. Damaged or Lost Shipments

If your package is damaged in transit or lost:

  • Notify us within 3 business days of delivery (or expected delivery)

  • Include photos of the packaging and product (if damaged)

  • We will assist you in filing a claim and arranging a replacement if eligible
